2. Google API Services and User Data
HR Mate integrates with Google Workspace APIs (including Google Chat, Google Drive, Google Forms, and Google Directory) to provide AI-powered HR assistance. Our use of Google user data is strictly limited to providing and improving these core features.
- Access: We access your Google Chat messages, organizational directory data, and specific Google Drive documents or Forms only when authorized by your organization's administrator.
- Use: We use Google user data exclusively to provide the core, user-facing features of the application. This includes powering the HR Mate conversational agent to answer direct HR-related questions, facilitating HR tasks, and displaying aggregated, user-facing dashboard metrics (such as department headcounts) directly to the user within the app interface. We do not use Google user data for developer analytics, background data mining, or advertising.
- Storage: Google user data, such as chat history and necessary HR documents, is encrypted at rest and stored securely in our database. We retain this data only as long as necessary to provide the service.
- Sharing: We do not share, sell, or transfer your Google user data to third parties, except for trusted, secure sub-processors required to operate our service (e.g., our secure cloud hosting provider).
HR Mate's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
3. Prohibited Data Uses
In accordance with Google's policies and our own strict privacy standards, we explicitly prohibit the following uses of your personal information and Google user data:
- We do not use Google user data for targeted or personalized advertising.
- We do not sell Google user data to third parties or data brokers.
- We do not use Google user data for determining credit-worthiness or for lending purposes.
4. How We Use Your General Information
We use general information (strictly excluding Google user data) for internal app analytics, to provide, maintain, and improve our services, and to process transactions. Specifically, to:
- Provide and operate our AI agent services
- Process transactions and send related information
- Send technical notices, updates, and support messages
- Respond to your comments, questions, and customer service requests
- Detect, prevent, and address technical issues and security vulnerabilities
5. Data Security
We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

Upon receiving a verified request, we will securely delete your personal information and Google user data from our active databases and systems within 30 days.
